Which plans include it

What it means
The settings for each voicemail box. A mailbox is where unanswered calls for an extension (or number) end up.
What it does
- Creates new voicemail boxes and names them.
- Links a mailbox to the extension whose unanswered calls it takes.
- Sets a 4–6 digit PIN for checking messages by phone.
- Limits message length (60 seconds to 5 minutes).
- Sets the greeting callers hear.
- Emails each new message, optionally with the audio attached and the transcript.
- Can stop callers leaving messages altogether.
Every part of the page

- Access & Security
- Mailbox name; Extension (the extension whose unanswered calls land here); Voicemail PIN (4–6 digits, needed to check messages by phone); Max message length.
- Voicemail Greeting
- Shows whether a custom greeting is on air. Write one and pick a voice, record it or upload a file, then press "Use this".

Examples
A box for each person
Mailbox 201 for Jane, linked to extension 201, PIN 4826, max message 3 minutes, email to jane@yourbusiness.co.uk.
A shared box
Mailbox 300 "Office" for out-of-hours calls, emailed to office@yourbusiness.co.uk so whoever is in first deals with it.
Recommended settings
- ★Use a PIN no one could guess — never 1234 or 0000.
- ★Max message length 2 minutes: long enough for detail, short enough that callers get to the point.
- ★Turn on email notifications with the audio attached.
- ★Leave "Delete once emailed" off unless you are sure email is your only record.
Abbreviations on this page
- PIN — Personal Identification Number
- A short number code — used for voicemail access and conference rooms.
- Example: Your voicemail PIN, e.g. 4826, stops anyone else listening to your messages.
- Ext. — Extension
- A short internal number (usually 3 or 4 digits) for each person or phone. Calls between extensions are free and never leave your system.
- Example: Dial 204 to reach the warehouse.
- Transcription — Speech to text
- Turning recorded speech into written text you can read and search.
- Example: A voicemail transcription lets you read "Hi, it's Sarah about the quote" instead of listening.

Make sure you pressed "Use this" on the new greeting. The page then says a custom greeting is on air.
