Voicemail & greetings
Voicemail: listen to, download and manage your messages
Play messages callers have left, read the transcript, download, archive or delete them, and see which greeting is on air.
Which plans include it
Included on every plan, including the Free Trial.
What it means
Your voicemail inbox for every mailbox on the account — a person, a department or a number.
What it does
- Lists messages with All, Unread and Archived tabs.
- Plays each message in the browser.
- Shows the Smart Transcription (voicemail-to-text) where your plan includes it.
- Downloads, marks as read, archives or deletes messages.
- Shows "Your voicemail greeting" — whether a custom greeting is on air.
Every part of the page
- All / Unread / Archived
- Filter tabs. Archived keeps a message out of the way without deleting it.
- Your voicemail greeting
- Says whether a custom greeting is playing. Open it to listen or change it, or upload, record or generate a new one.
- Voicemail Settings
- Shortcut to PIN, greeting and email settings per mailbox.
- Play message
- Plays the message here — no download needed.
- Smart Transcription
- The message as text, so you can read it in a meeting.
- Mark as read / Archive / Download / Delete
- Message actions. Delete cannot be undone.
How to use it
Listen to new messages
- Open Voicemail and choose Unread.
- Press Play message.
- Mark as read, or Archive when dealt with.
Save a message for your records
- Press Download on the message.
- It saves as an audio file you can keep or forward.
Examples
Busy tradesperson
Read the transcript of each message between jobs instead of listening to them all, then call back the urgent ones first.
Keep a record
Download a message as audio before deleting it if a customer complaint might need it later.
Recommended settings
- ★Archive rather than delete messages you might need later.
- ★Turn on Voicemail to Email so you never have to log in to check.
- ★Record a personal greeting — callers leave more messages for a real voice than for a robotic default.
Abbreviations on this page
- Transcription — Speech to text
- Turning recorded speech into written text you can read and search.
- Example: A voicemail transcription lets you read "Hi, it's Sarah about the quote" instead of listening.
- MP3 / WAV — Audio file formats
- The two most common sound file types. WAV is full quality and larger; MP3 is smaller.
- Example: Download a recording as MP3 to email it; keep the WAV if you need the original quality.
