Voicemail & greetings
Greetings: record, upload or write the messages callers hear
Make professional announcements by typing them and choosing a natural voice, recording with your mic, or uploading audio — then put them on air.
Which plans include it
Included on Plus and above. On Free Trial, Entry you can add it on its own at £4.95 a month from Features & add-ons.
What it means
The greetings studio. Every message your system plays — voicemail greetings and menu prompts — is made and managed here.
What it does
- Turns typed text into a natural spoken greeting in the voice and speed you choose.
- Records a greeting with your microphone, or uploads MP3, WAV, M4A, OGG or FLAC (up to 15 MB, 5 minutes).
- Converts every file to the format the phone network plays, so what you hear is what callers hear.
- Lets you listen in full quality or "as a caller does, over the phone".
- Puts a greeting on air for a mailbox or a greeting menu — or keeps it as a draft.
- Renames, re-records, downloads or deletes greetings.
Every part of the page
- What is this greeting for?
- "Voicemail greeting" (what callers hear before leaving a message), "Menu prompt" (the "Press 1 for sales…" message), or "Just building a greeting — don't put it live yet".
- Answering for which mailbox? / Which greeting menu?
- Where the greeting will play when you put it on air.
- Write it, pick a voice
- Type the words, choose a voice ("Hear this voice" to preview), set the speaking speed, and optionally name it.
- Upload MP3 / WAV
- Use a professional voice-over or your own file.
- Record with your mic
- Record in the browser. Allow microphone access when asked.
- Your greetings
- Every greeting with its status (On air, Failed). Listen in full quality, hear it over the phone, change the words, voice or speed, rename, download or delete.
- Use the standard greeting
- Takes your custom greeting off air and goes back to the default.
How to use it
Make an out-of-hours voicemail greeting
- Choose "Voicemail greeting" and the mailbox.
- Type: "Thanks for calling Acme. We are open 9 till 5:30, Monday to Friday. Please leave your name and number and we will call you back."
- Pick a voice and preview.
- Create greeting, press Listen, then "Use this".
Upload a professional recording
- Press "Upload MP3 / WAV" and choose the file.
- Listen as a caller hears it.
- Put it on air for the mailbox or menu.
Examples
Type it, choose a voice
Type "Thank you for calling Green Gardens. We are out on jobs right now — please leave your name and number after the tone." Pick a voice, preview it, and put it on air. No studio needed.
Christmas message
Make a "Christmas closure" greeting: "We are closed from 24 December and back on 2 January." Put it on air for the holiday, then switch back.
Recommended settings
- ★Read the text out loud first — short greetings sound best.
- ★Business name in the first sentence; opening hours and a promise to call back.
- ★Speaking speed: leave at the default unless it sounds rushed.
- ★Press "Hear it as a caller does" before going live — phone audio is narrower than your speakers.
Abbreviations on this page
- TTS — Text to speech
- Typing words and having them spoken in a natural voice. The Greetings studio and Greeting Menus use it.
- Example: Type "We are closed for lunch" and TTS turns it into speech in the voice you choose.
- MP3 / WAV — Audio file formats
- The two most common sound file types. WAV is full quality and larger; MP3 is smaller.
- Example: Download a recording as MP3 to email it; keep the WAV if you need the original quality.
- IVR — Interactive Voice Response
- The recorded menu that answers a call and asks the caller to press a key — "press 1 for sales, press 2 for accounts". Each key sends the call somewhere: a person, a team, voicemail or another menu. It lets a small business sound like a large one and gets callers to the right person first time. In your dashboard it is called a Greeting Menu.
- Example: "Thank you for calling Smile Dental. Press 1 to book, press 2 if you are in pain today, press 3 for billing." Press 2 and the call rings the emergency nurse, not reception.
