Phone Numbers: manage every number and where its calls go
Every number on your account with its routing, call counts and minutes. See where each number sends its calls and switch Smart Answering on or off.
Which plans include it
Included on every plan, including the Free Trial.
What it means
Your list of phone numbers. Each number (also called a DID or DDI) can send its calls somewhere different — a person, a team, a menu, voicemail or the Smart Receptionist.
What it does
- Lists every number you own and its status (active, porting, suspended).
- Shows each number's routing type and whether Smart Answering is on.
- Shows incoming, outgoing and total calls and minutes per number.
- Lets you remove a number you no longer want on the account.
Every part of the page
- Number list
- One card per number with its status badge. PORTING means it is still moving from your old provider; SUSPENDED usually means a billing problem — see Subscription & usage.
- Routing Type
- Where calls to that number go. Change it on the Call Routing page or, for menus, on Greeting Menu.
- Smart Answering
- Shows whether the Smart Receptionist answers this number. Available on Pro and above, or as an add-on.
- Incoming / Outgoing / Total Calls / Minutes
- Usage per number, so you can see which number your customers actually ring — useful if you run adverts with different numbers.
- Add Number
- Records a number that is already yours on the account. To buy a new number use Buy a Number; to bring one from another provider use Number Porting.
How to use it
See where a number's calls go
- Open Phone Numbers.
- Find the number and read its Routing Type.
- To change it, open Call Routing and edit the rule for that number.
Track which advert works
- Buy a separate number for each advert or campaign (Buy a Number).
- Point them all at the same team in Call Routing.
- Compare Incoming calls per number here each month.
Remove a number
- Open Phone Numbers.
- Press the delete icon on the number.
- Confirm. If you are leaving us, port the number away first — a deleted number cannot always be recovered.
Examples
Check where a number goes
Your 0113 number shows "→ Main Menu". If calls are going to the wrong place, this is the first place to look.
A number for an advert
Buy a second number just for a newspaper advert. Its call count on this page tells you exactly how many calls the advert brought in.
Recommended settings
- ★Give every number a clear friendly name on Buy a Number (e.g. "Main line", "Google Ads") so reports make sense.
- ★Never delete a number that is printed on vans, signs or your website — port it away instead if you must leave.
- ★Every user on your plan includes their own UK number; extra numbers are added through Buy a Number.
Abbreviations on this page
- DID — Direct Inward Dialling
- A phone number that rings straight through to a person, team or menu on your system. Each number on your Phone Numbers page is a DID.
- Example: Your 0161 number is a DID; it can ring Jane directly without going through reception.
- DDI — Direct Dial In
- The UK name for a DID — a number that reaches someone directly without going through a switchboard.
- Example: Give your accounts team their own DDI so customers can call them without going through the main menu.
- 01 / 02 — Geographic numbers
- UK landline numbers tied to a town or city by their area code, such as 0161 for Manchester or 020 for London.
- Example: 0113 (Leeds) and 020 (London) are geographic numbers.
- E.164 — International number format
- A phone number written with + and the country code and no leading zero, such as +44 161 496 0000. Some fields accept this format.
- Example: 01632 960123 written in E.164 format is +441632960123.
Questions
How many numbers do I get?+
Every user you pay for includes their own UK number. The Free Trial includes one number allocated for you. Extra numbers can be bought from Buy a Number.
What does PORTING mean next to my number?+
The number is moving from your old provider. It keeps working with them until the move completes, typically about 14 working days after a correct request.
Can two numbers ring the same people?+
Yes. Create a routing rule for each number pointing at the same hunt group, menu or mobile.
Why is my number suspended?+
Usually because a payment failed. Open Subscription & usage, update your card, and the number is restored once payment succeeds.
